  • How far in advance do we need to schedule our picnic?
    We recommend booking at least two weeks in advance. If you want the picnic for a special event, or special date, please book as soon as possible. Weekend dates book up quickly, so if you would like a weekend date, please book at least 2 weeks in advance. We always try our best to schedule you, but sometimes it might not be possible. Rush fees may apply for last minute bookings.
  • How do I secure my date?
    To secure your date, please fill out the booking form on our contact page or contact us directly to discuss so we can send you an invoice and payment directions. We will email you our proposal and booking confirmation with your desired date, time, and instructions. You will need to sign our contract and pay a 40% deposit. Once that is completed your date/picnic is secured for the date!
  • What’s your cancellation policy?
    After you sign our services, and pay the deposit, we can reschedule you for another day, or for a future date, but we do not give refunds. Please let us know as soon as possible if your date no longer works, so we can give the opportunity to someone else.
  • What is the latest time you book picnics in the day?
    The latest time we book picnics are one hour before sunset, and all picnics end 15min after sunset. If you wish to extend your picnic later into nighttime please let us know in advance because some beaches and parks close at sunset. We need to plan for lighting, and a safe location.
  • What locations can we have a picnic in?
    We have our favorite beaches and locations on St. Thomas and St. John we can recommend. Travel fees will be applied to St. John picnics. Entry fees are not include in cost of picnics for certain locations and venues.
  • Do we have to choose a park on your list?
    Yes, or if you'd like to recommend a location, simply put in a park you’d like us to do your picnic. We are open to new ones and suggestions.
  • Can we have a picnic in our backyard?
    Yes! Backyard picnics are the best way to really have privacy. Please let us know in the booking form if you would like a backyard picnics.
  • I want a secluded area, or private beach away from the crowds can you insure this?"
    We try our best to find a good location on the beach or in the park, but cannot guarantee that it will be completely secluded from other beach goers or people in general. But we can give recommendations for secluded areas.

Terms & Conditions

Bookings are not finalized until we receive your deposit. As we receive multiple inquiries each week, we cannot hold dates. By checking this box, you agree to pay the non-refundable 40% deposit of final price to secure your booking and have read the following terms and picnic protocol. Bookings consisting of over 8 guests are considered events and are subjected to consultation and planning, a contract must be signed for all events to secure your date as well as your deposit or retainer at time of contract agreement.

 

We do not give refunds only credit to reschedule under certain conditions. If for any reason you can’t attend your Picnic please reach out to us at least 24 hours before your Picnic so we can reschedule.

 

PICNIC PROTOCOL CONTRACT.

 

1.WE RESERVE THE RIGHT TO REFUSE SERVICE TO ANYONE. 

 

2. PLEASE DO NOT BE LATE TO YOUR PICNIC. OUR PICNICS ARE TIME AND DAYLIGHT SENSITIVE, AND WE WILL NOT BE ABLE TO EXTEND YOUR TIME. WE CAN ALLOW A 10 MINUTE GRACE PERIOD – NO LATER.

 

3. PLEASE DO NOT APPROACH YOUR PICNIC SET UP EARLY. OUR TEAM MEMBERS UTILIZE EVERY MOMENT PERFECTING YOUR SET UP. IF YOU SEE YOUR PICNIC TABLE BEING PREPARED, PLEASE DO NOT WALK UP UNTIL YOUR ALLOTED START TIME.

 

4. PLEASE DO NOT SIT, STAND ON, OR MOVE OUR PICNIC TABLES AND EQUIPMENT. 

 

5. YOU ARE RESPONSIBLE FOR OUR ITEMS DURING YOUR ALLOTED TIME. PLEASE TREAT OUR EQUIPMENT WITH LOVE AND CARE. ❤️

 

6. EACH PILLOW, BLANKET, DISH AND CUP IS SANITIZED, CLEANED, PACKAGED ACCORDINGLY BEFORE TRANSPORT, AND THEN WIPED DOWN AGAIN DURING SET UP WITH GLOVES AND MASKS PRESENT. 

 

7. YOU ARE RESPONSIBLE FOR ANY BREAKS, STAINS, OR SPILLS TO OUR EQUIPMENT AND A FEE MAY BE CHARGED FROM YOUR RETAINER DEPOSIT FOR CLEANING/BREAKAGE FEE IN THE EVENT OF SUCH INCIDENTS. 

 

8. PLEASE DO NOT LIGHT OUR CANDLES. THEY ARE FOR DISPLAY ONLY.

 

9. PLEASE DO NOT LEAVE YOUR PICNIC TABLE UNATTENDED FOR MORE THAN A FEW MINUTES.

 

10. OUR FLORAL ARRANGEMENTS ARE NOT TAKE-HOMES. IF YOU WOULD LIKE TO KEEP ANY FRESH FLOWER ARRANGEMENT YOU ORDERED, JUST LET US KNOW. BUT WE CANNOT GIVE AWAY OUR VASES. 

 

11. IN THE EVENT THE WIND PICKS UP UNEXPECTEDLY AND IF OUR UMBRELLAS ARE NOT STAYING UPRIGHT, SIMPLY SLIDE DOWN THE LATCH AND LAY THE UMBRELLA FLAT ON THE GROUND. WE THANK YOU IN ADVANCE FOR YOUR HELPFULNESS.

 

12. VIRGIN ISLANDS OUTDOOR EXCURSIONS IS NOT HELD LIABLE FOR ANY POSSESION OF ALCOHOL OR OTHER SUBSTANCES. WHAT YOU PROVIDE IS UP TO YOUR DISCRETION, AND WE ARE NOT HELD RESPONSIBLE FOR ANY CONSEQUENCES. 

 

13. YOUR CARD ON FILE WILL BE CHARGED UPON YOUR ARRIVAL. IF YOU WOULD LIKE TO PROVIDE PAYMENT ANOTHER WAY, JUST LET US KNOW AHEAD OF TIME. 

 

14. ALL CLIENTS MUST PAY BEFORE DEPARTURE. 

 

15. WE DO NOT PROVIDE REFUNDS.

By booking with us and confirming your appointment you agree to respect the rules of the beaches and parks of the Virgin Islands and keeping them safe and clean. 

 

Hotel/Motel/Villa room, Guesthouse set up rules:

 

Set up takes between two to three hours depending on the size of the room and set up required. Please do not approach your set up until it’s complete. Hotel and guest house set ups are for one night, $25 extra for each extra night. If you’re set up is for a special occasion surprise we will be very discreet, please leave the room key with the front desk and the name of our employee or employees who will be in charge of your set up. We will leave your extra room key in your room or at the front desk whichever you prefer. Please keep all personal items away from each of our work area or in the hotels safe. We will not be held responsible for lost or broken items or any injuries sustained during or booking.  Please be careful and take care of our equipment, do not pop our LED balloons please. We arrive to do clean up and to retrieve our special items and equipment the next day 30 minutes before your scheduled check out time to avoid interrupting the hotels houseman and housekeeping staff. Clean up on our part included popping balloons, packing away our LED candles, LED balloons and signs, picking up and discarding rose petals to make the housekeepers job easier, throwing away any bottles of complementary wine or champagne in your selected package, etc.

 

Virgin Islands Outdoor Excursions are a equipment rental business which means all items must be returned in great condition after session is done.

Customers may be held responsible for damages done to items during their session.

Be sure to check the condition of items before your session begins.

 

If for any reason you may need to leave your Picnic or excursion early please let us know in advance so we can arrive to pack up before you leave, please don’t leave your set up unattended or abandoned.

 

If you’d like to add more time to your Picnic please do so at time of booking or as at least three days before your appointment to avoid interruption of your schedule and other appointments.

 

If you’d like to include food to your set up please let us know at time of booking.

 

If you’d like to book Picnics and excursions after our normal business hours please contact us so we can arrange that and quote you.

 

At no time and under no circumstance will any of our team members tolerate abusive, violent, destructive, menacing, or harassing behavior from the client or any party acting on behalf of the client. If such behavior does occur, we have the right to respectfully inform the client and/or member and handle the situation. If the abusive behavior continues, Virgin Islands Outdoor Excursions will consider it a breach of contract and the event will be automatically cancelled. No refunds will be given.

 

Virgin Islands Outdoor Excursions is not responsible for any injuries or harm sustained during clients session.

 

Absolutely no littering, please make use of garbage bags that are provided in your package. Help us in the fight in keeping the islands clean♻️🌎🌱🌳 

 

We currently do set ups on St. Thomas in town and country that we are allowed to, we can also do set up at a location of your choice that are not prohibited by the government only. Fees may apply based on location.

 

Payment is due at time of booking, there will be a 40% non refundable deposit that will be taken off of total payment for no shows and cancellations. Feel free to reschedule appointments 3 days prior to your appointment to avoid the no show or cancellation fees.

 

Please include in notes any extra equipment and add ons you’d like to add to your session so you can be quoted.

 

We also do referrals for massage therapist, taxi services, jet-ski and water sport activities, catering services, fresh flowers bouquets, bartending services, professional photography session  to your package, etc. So be sure to ask and check our picnic partners page.

 

We are very excited to inform you that we give 10% off from all Picnics to anyone with proof that they are in therapy, counseling, anger management and new moms who may be suffering from postpartum. If you know anyone who many fall into any of these criteria who’s mental health you think may improve or benefit greatly from a picnic, camp night or any of our excursions or events please feel free to book on their behalf. Proof or therapy, counseling, anger management, etc. must be provided to secure this discount.

 

 

We accept payment via cash, valid checks, ATH Móvil, bank transfers, MoneyGram, Money orders, WesternUnion and PayPal.
